Assigning Contributor + Participant
The Contributor + Participant role combination is ideal for users who both create meeting content and participate in meetings. These users are responsible for drafting reports, collaborating through approval workflows, and attending meetings as members, advisors, or presenters.
When to Assign This Role
Assign Contributor + Participant when a user needs to:
- Create and edit reports or agenda materials.
- Participate in document review and approval workflows.
- Access draft and approved documents.
- Attend meetings as a member, presenter, or advisor.
- View published agendas, minutes, and meeting packages.
- Participate in meeting activities, including voting where applicable.

To assign a user as both a Contributor and Participant in eScribe 6:
- Navigate to Administration > Users.
- Select the user you want to modify or create a new user.
- Under Primary Role, select Non-Administrator.
- In the Role Access section:
- Enable Contributor.
- Enable Participant.
- Add the user to the appropriate Attendee Groups if they will participate in meetings.
- Click Save to apply the changes.
Assigning Contributor + Visitor Access
Contributor + Visitor is a role combination designed for users who need to create and manage meeting content while also having read-only access to published meeting information. This combination is commonly assigned to staff who prepare reports but are not formal meeting participants or voting members.
When to Assign This Role
Assign Contributor + Visitor Access when a user needs to:
- Create, edit, and submit reports or agenda-related documents.
- Participate in approval workflows.
- Access document libraries and shared resources.
- View published meeting materials as a visitor.
- Access meetings or records made available through Visitor access.
- Stay informed about meeting outcomes without participating in meeting proceedings such as voting, requesting to speak, or annotations.
Steps to Assign Contributor + Visitor Access
- Go to Users & Groups.
- Select User List.
- Open the user profile.
- Under User Roles, select Contributor.
- Enable Visitor Access.
- Save your changes.
