Upcoming User Role Changes

We will be making updates to user roles over the coming weeks. These changes are intended to ensure that permissions accurately reflect current job responsibilities and business processes. Most users will experience little or no impact from these updates. 

What to expect:

  • Some users may notice changes to the features, menus, or areas they can access.
  • Access levels may be adjusted, added, or removed based on assigned roles.
  • If a change affects your day-to-day work, additional information will be provided as needed.
We will communicate further details before any changes take effect. Communication to customers will be sent out by your Implementation Consultant or Customer Success Manager. No action is required from users at this time.

How Will this Affect Me?

If you use eScribe day to day: most likely not at all. Your access stays the same. If you hold one of the roles below, the name on your profile changes, but everything you can do today, you can still do.

  • Meeting Type Administrator → Meeting Administrator
  • Attendee Group Administrator → Meeting Administrator
  • Approval Group Administrator → Meeting Administrator
  • Task Manager → Contributor

If you manage users for your organization: most of your people match one-to-one with a new role, and we move them over for you. The exception is anyone who holds more than one role today. Those users need a decision about which single role they land in, and your Customer Success Manager will reach out to sort that with you before the 15th.

Do I Need to Do Anything? 

For most people, no.

If you manage users, watch for a note from your Customer Success Manager. They can either walk through your multi-role users on a short call — and move them over early, right there — or send you the list with a recommended mapping to review by email. Either way, it's a quick review, not a rebuild.

Why We're Making this Change

Ten separate role checkboxes meant one person could hold several roles at once, and those roles didn't always agree with each other. Working out what someone could actually access took guesswork.

One role per user removes that. You look at a person's role, and you know what they can reach.

When is This Change Happening

Monday, September 15, 2026. Your users move to their new roles automatically that day. Nothing changes before then, and no one loses access during the switch. 

What Happens to the Users I've already set up? 

They move with you. On September 15 every existing user is mapped to their new role automatically — for most people that's a straight one-to-one match, and no one loses access during the switch.

Users who currently hold more than one role are the ones to look at. Your Customer Success Manager will bring you that list before the 15th with a recommended role for each, and you can either confirm it by email or walk through it together on a call and move those users over early.

After the change is live, it's worth a quick scan of your user list to confirm everything landed where you expect.
