Using Variables in eScribe

In eScribe, variables are dynamic placeholders that automatically pull meeting-specific data (for example: meeting date, meeting type, attendance, mover/seconder names) into templates and generated documents. When the agenda, minutes, or package is generated, the variable resolves into real text.

This is most commonly used in:

  • Meeting templates
  • Minutes and Motion templates
  • Email Templates
  • Pre‑Minutes and Post‑Minutes sections
  • Automatic Resolution Numbering

Best Practices when using variables

Copying and pasting variables between sections or modules. Variables are frequently copied from:

  • Agenda → Minutes
  • Pre‑Minutes → Post‑Minutes
  • Agenda Packages → Minutes Packages
  • Document templates → Meeting templates

Even though the variable text looks the same, it may be context‑locked to where it was originally inserted.

  • Copied variables can:
  • Populate incomplete data
  • Populate incorrect data
  • Appear blank
  • Behave inconsistently across meetings
