Use cases for adjourn:
- To add an attendee to the roll call who was not present.
- If adding items during the conducting of the meeting - minutes package will not reflect added item unless meeting unadjourn.
- It allows adding agenda items without them being forced into an addendum when the meeting has already been concluded.
Adding an Attendee to Roll Call
Complete the roll call again.
Ensure you toggle ON all attendees so they will appear in the minutes package.
Click “Conduct Meeting.”
Conclude the meeting again.
Re-prepare the Post Minutes package.
After completing these steps, the missing attendee should appear in the minutes package.
Adding Items during the meeting:
In the event an item was added during the meeting or post meeting, the minutes package will not capture items added. Administrators will need to follow the step listed below
Click “Unadjourn” from the Options menu to reopen the meeting.
For any items added during the meeting, ensure the “Active Item” toggle is turned ON so the items will appear in the Post Minutes package.
Conclude the meeting.
Re-prepare the Minutes Package.
After completing these steps, the items added during the meeting should appear in the Post Minutes package.
Repreparing an Agenda
Using “Unadjourn” allows agenda items to be added even after the meeting has been concluded, without automatically placing them in an Addendum Package. Items added to an approved agenda will often appear with an asterisk to the left of the item title and will appear in a separate package for Addendums/Revised Packages. Following the steps below allows the newly added items to be reflected in the original agenda.
- Click “Unadjourn” from the Options menu to reopen the meeting.
For any items added during the meeting, ensure the “Active Item” toggle is turned ON so the items will appear in the Post Minutes package.
Conclude the meeting.
Re-prepare the Agenda as required.
