Participants - Declaring a Conflict within a Meeting

A conflict of interest can be declared at any stage of the meeting lifecycle. Conflicts may be added for any voting Participant and can be associated with any agenda item. A conflict of interest occurs when a Participant's personal, financial, or professional interests could influence, or appear to influence, their decision-making regarding an agenda item.

Examples include:

  • A Participant owns property that could be affected by a proposed zoning or development application.
  • A Participant or an immediate family member is employed by, or has a financial interest in, a company seeking a contract approval from the organization.
  • A Participant is a board member, officer, or volunteer of an organization that is requesting funding or support.
  • A Participant is involved in a legal matter or dispute related to the agenda item being discussed.
  • A Participant could receive a direct financial benefit from the outcome of a vote.
  • An agenda item involves a close friend, family member, or business associate of the Participant.

Adding a Conflict

To declare a conflict:

  1. Select the applicable agenda item from the agenda panel on the left.
  2. Click Add Conflict.
  3. Enter the required conflict details and save your changes.

The following form will appear as a flyout  which will allow you to enter a reason for the conflict and upload an attachment(s) to support the conflict. User will click "Create" once ready. 

NOTE: There are no notifications sent to the Participant who submitted the conflict or to the Administrator

When viewing the conflict as a Participant, a Conflict label will appear on navigation in the meeting.

Editing an Existing Conflict

Conflicts declared by a Participant in the meeting can be edited or removed as needed by clicking the options menu to the name of the user who declared a conflict.

Conflict Summary on the Agenda

In addition to appearing on the associated agenda item, declared conflicts can also be displayed in a dedicated Conflicts of Interest category within the agenda.

When this feature is enabled by your organization:

  • The name of the Participant with the conflict and the related agenda item will be listed under the dedicated conflict category.
  • All conflicts declared during the meeting will be grouped together in one location, making them easier to review and track.
  • Selecting a conflict entry will identify both the Participant and the agenda item to which the conflict applies.

This provides a consolidated view of all declared conflicts and helps ensure transparency throughout the meeting.

Note: This feature may not appear on your Agenda. Please consult your Administrator for additional information.
