Creating Closed Session Draft Documents

Draft Agenda functionality allows Draft Documents to appear within a Closed Session meeting in eScribe. The draft Document will appear in the meeting when the Closed Session Agenda is configured as a Special Action Item. More assistance is available on how to Manage Special Action Items within a Meeting Template or Adding New Categories in Meeting is available to guide Administrators through adding new agenda items.

Drafting a Document for Closed Session 

Drafting a Document which will appear in a Closed Session/In Camera meeting within a meeting begins by selecting the Closed Session Special Action item from the New Document Flyout under Parent Item. By selecting the Special Action item, this ensures the draft item appear in the Closed Session under the specific item.

Managing Draft Documents from the Documents View

Once the document is drafted, it appears in the Documents List under the Draft tab and is also linked to the closed session for the corresponding meeting. To edit the document, open the Options Menu and select Edit in Microsoft Word, along with other available actions.

Viewing a Draft Closed Session Document in the Meeting

To view Draft Documents in Closed Session, administrators will need to select " Closed Session" from the drop down menu in the top right hand to move from Open to Closed Session. The item will appear as a child item in closed session in open and closed.

Deleting a Draft Document from the Closed Session Meeting

To delete the draft document from the closed session meeting, locate the item in the Agenda and select Delete Item from the Options Menu. Deleting the document removes it from the meeting only; the original document will remain available in the Documents List.
