The final release note is provided below and contains the following improvements and fixes:

Improvements:

  • Meetings List:
    • Users will be able to see if the meeting has been published to visitors. The statuses are Published, Unpublished and Not Published. A new Visitor Status filter has been added to the filters as well
  • Meeting Site:
    • Private, Group and Chair comments have been updated. Private Comments are now Personal Notes, Group Comments are now Groups Messages and Chair Comments are now Chair Messages. All Notes and Messages have their own icon
    • Message icons will appear properly based on the user who left the message. If a user leaves a Personal Note for themselves, the icon will only appear for them. If a chair or admin leave a Chair Message, the icon will appear for them. If a Group Message was left, users with access to Group Messages will see the icon
    • When the admin is running a meeting and activating items and switching between the different meeting modes (In-Session, Concluded), participants and visitors within the meeting site will see updates in real-time
    • A task icon will appear in the agenda navigation when a task has been added to an item. Only admin roles within the meeting site will see this icon
    • The public display will display the last thing that has been cast to it. Whether it’s an active item or a motion, the last thing to be cast is what will be displayed
  • Packages:
    • When viewing the prepared pre-minutes or post minutes package, the file will open as a .docx as a download rather than opening in-browser
  • Documents:
    • Document Templates can be deleted. Documents that use a document template that has been deleted will not be negatively affected
  • Approvals:
    • When a document has started an approval request, on the approval request page the user can see the name of the approval group that is being used for the approval
  • Users & Groups:
    • When setting up a user’s profile, the Account Type field has been renamed to Sign-In Option
    • The user roles Contributor and Visitor are able to be used together
    • Attendee Groups can be deleted. Once an attendee group is deleted, it’s possible to add a new group with the same name as a deleted one
  • Meeting Templates:
    • The additional and second session variables for minutes and agenda packages have been removed
    • Within the Configure Meeting Settings, the eSolutions settings can be accessed on the Publish tab. Internet publishing does need to be enabled for the eSolutions settings to appear
  • Administration - Settings:
    • On the General tab, admins can use the Organization Name field to update the organization name that they’d like to display on all users’ sites at the top of the page. The value that is saved in this field will also update the organization name that is displayed in eScribe generated emails
    • The Meetings Professional tab has been removed as it’s no longer applicable
  • Miscellaneous:
    • The character limit of the agenda item title has increased from 256 characters to 1,500 characters. The applies to all areas such as within the meeting site, the agenda items page, the documents list, the meeting templates, tasks, reporting, etc. Anywhere that an agenda item title can be added or edited
    • When inserting or editing a link in a field, the ‘Title’ and ‘Open link in’ fields have been removed
    • The icons for activate and deactivate have been updated 

Bug Fixes:­

  • Meeting Site:
    • When loading the meeting site, the agenda would load as empty and then load properly a few seconds later
    • The admin was unable to scroll within the Attendees flyout
    • Activating an item was throwing an error
    • The motion templates date variable was displaying the date as well as the time
    • The admin was unable to click Open to Voting as an error would appear and the screen would freeze
    • On a closed session motion, the checkbox ‘Show in open session’ was not working
    • The Private Comment icon appeared for the participant after the comment had been deleted
    • The encoder continued to stream after the meeting concluded
  • Packages:
    • Publishing the HTML agenda was failing
    • On the publishing site, published HTML attachments on an item were appearing in the incorrect order
    • In the agenda package, the format of the sponsors listed followed the format of the agenda item
    • In the agenda package, the agenda item number and title were appearing on two separate pages
    • Headers and footers were placed incorrectly within the agenda package
    • In the post minutes package, the resolution number label was not appearing bold when the setting was turned on
    • Additional white space was appearing in the post minutes package between items
  • Documents:
    • The agenda item column on the documents list page was not sorting in ascending and descending order
    • A document created in the documents list was appearing twice
    • Draft agenda items were not reflecting changes made to the document quickly
    • Changes to a documents Parent and Place Item After fields were not being reflected in the meeting site
    • The draft agenda items motion information was not extracting the text within the meeting site
    • Documents were being reverted to the template version
    • Track changes were not appearing in documents
    • The version history of a document was unable to be downloaded
    • When trying to start an approval request, a message appeared warning the user that they were unable to do so, as the document was opened, but the document was not opened at the time
  • Meeting Templates:
    • The Publishing tab was not appearing within the Configure Meeting Settings window
  • Reporting:
    • Documents were appearing duplicated in the Forecast Report
