The release note is provided below and contains the following improvements and fixes:
Improvements:
- Meeting Site:
- Validating Attachments:
- Any document that is added to a meeting site is validated to ensure it will not cause any failures when generating packages. This includes attachments uploaded on items, attachments on referred items and documents added from the documents list
- The system runs validation and checks for:
- Invalid characters within the filename (“, <, >, |, /,\, :, *, ?), if the document is password protected, if the document has been digitally signed and if the document is corrupt
- If the document fails validation it is automatically omitted from the agenda package. It will still be available within the meeting site, but not included in any prepared package, as that document would cause the package preparation to fail
- A summary of all documents within the meeting site has been added. Click the paperclip icon at the top of the meeting site to view all documents that have been included, excluded and omitted within the packages
- For draft agenda items in the meeting site, in the Details tab the user is no longer able to remove the document extension. The Document Name can still be edited, but the file extension information resides on the outside of the textbox
- When uploading an attachment, the only option for the attachment is to delete it. A trash can icon will appear instead of the menu until the user clicks Save. Once Save is clicked, all applicable options will appear within the attachments menu
- In the Minutes tab, the Add button has been fixed to the top of the tab. The user won’t have to scroll up in order to add Minutes or Motions
- When a user refers an agenda item to the agenda items list, referral history will be saved for the item. The history will note that the item was ‘Referred to Agenda Items list’, by the applicable user and date and time it occurred
- The Participant View for Administrators within a meeting site has been renamed to Participant Preview. The Comments tab has been renamed to Messages. This area is read-only when previewing as an Administrator, including the Personal Notes and Group Messages sections

- The Live Streaming settings have moved from the Settings flyout to the Live Streaming flyout
- Packages:
- Draft agenda item information will appear within the post-minutes packages. This includes: the item title, description, the motion text and attachments (in the post-minutes with attachments package)
- Agenda Items:
- Agenda items can be filtered by departments and branches. The filter shows a list of departments and branches, with branches indenting under the parent department. All options are displayed in alphabetical order and multiple selections can be made at a time
- The Department column can be sorted. The user can click on the column header to sort the information A-Z. The second click sorts the column Z-A. The third click cancels the sorting and the column returns to its normal state
- Documents:
- Documents can be filtered by departments and branches. The filter shows a list of departments and branches, with branches indenting under the parent department. All options are displayed in alphabetical order and multiple selections can be made at a time
- The Department column can be sorted. The user can click on the column header to sort the information A-Z. The second click sorts the column Z-A. The third click cancels the sorting and the column returns to its normal state
- In the Draft tab, the user can clear the selection made in the ‘Agenda Item’ field since it’s not a required field
- When editing a document that has ‘Add to Meeting as Draft Agenda Item’ selected, if the user unchecks the setting, the ‘Agenda Item’ field will list the applicable options. If there was an option selected in the ‘Parent Item’ field, the ‘Agenda Item’ field will automatically display what was listed in the ‘Parent Item’ field. The same applies if the situation was reversed
- When editing a draft agenda item from the Edit Details flyout, the user cannot choose the current document in the ‘Parent’ or ‘Place Item After’ fields
- When a user creates a draft agenda item and then updates the meeting type to one that does not allow draft agenda items, the draft agenda item setting will become unchecked and an error will appear letting the user know that draft agenda items are not supported by the newly selected meeting type
- On an approved document, when the user selects ‘Move to Draft’, the document becomes a draft document again and the ‘Agenda Item’ field will list all applicable agenda items to select from
- A draft agenda item can be reordered in two ways. The first is within the meeting site using the drag and drop functionality. If reordered this way, the ‘Parent Item’ and ‘Place Item After’ fields within the draft agenda items Edit Details flyout will be updated to reflect the new placement. The second is from the Documents List, using the ‘Parent Item’ and ‘Place Item After’ fields. If reordered this way, the draft agenda item will be reordered within the meeting site
- Approvals:
- When a draft agenda item has been sent through an approval, if that approval gets declined the draft agenda item will remain in the meeting site and not be deleted
- Approval Groups:
- When adding permissions to approval groups and exception approval groups, deactivated meeting templates will not appear as options to choose from. If the meeting template was deactivated after it was added to the approval/exception approval group, the meeting template will display as ‘Meeting Template (Deactivated)’

- In the Configure Meeting Settings > Motion Process setting, when the radio buttons are selected, the text fields have been removed

- When displaying records in a list view, departments will be displayed as ‘Department’, and branches will be displayed as ‘Department Name – Branch Name’
- The currently activated language dictates which fields appear within flyouts. If only English is activated, French fields won’t appear in the flyouts. The ‘English’ text will also be removed since that is the only language in the system. If both English and French are activated, then ‘English’ and ‘French’ will be seen on the applicable fields
Fixes:
- Meeting Site:
- The minutes icon was missing within the agenda navigation
- When multiple motions exist on a draft agenda item, the motions were displayed out of order
- When using draft agendas, motion text that was extracted from the draft document appeared in the meeting site as ‘Undefined’, instead of using the motion text
- When a draft agenda item was approved from within the meeting site, the motion text disappeared in the motion component
- When the ‘Show in open session’ setting was used for closed session motions, the text disappeared
- Packages:
- When using draft agendas, an extra empty motion was appearing
- When using draft agendas and preparing an agenda package, the PDF version did not contain attachments
- The motion label was not appearing within the agenda package when an approved document that contained a motion was added to the agenda
- Documents:
- The department-branch content control within a document was being deleted if the department-branch was updated after the document was created
- Motion text was not extracting from documents that were added to the meeting site
