Administrator - Adding an Exception Approval Group

Exception Approvals are used to manage submissions after a deadline has passed. If a meeting’s submission deadline is missed, an Exception approval must be completed to approve the document for late submission. 

These approvals are automatically triggered based on the organization's Document Settings. For more information on how this is configured, refer to the Document Settings documentation.

Note: Once a late exception approval has completed, the document still needs to be approved via a regular approval.

Adding an Exception Approval Group

  1. Go to the Approvals Group screen.
  2. Click on the Exception Approval Groups tab.
  3. Select Create Group.
  4. Enter the group name exactly as it should appear to a user in the drop down 
  5. Click Create to finish.

Adding Permissions in an Exception Approval Group

Permissions are used to associate when the Exception Approval Group appears once a Document has passed the submission deadline. Most often, permissions are configured to appear for All Departments and All Meeting Types if there is one single Approver for all late  Documents.

Approval Steps in an Exception Approval Group

Late Exception Approval Groups require an Approver to complete the task, however there are no roles for Approver Assistants and Delegates as a regular approval group as these items are passed the submission deadline.

Search for the Approver from the Approver drop down and click Add. Repeat the step again if additional Approvers are required.

The late exception Group is now complete and will appear to the initiator of the Approver in the event the Document is late.

 

Starting an Exception Approval

Documents that are past the submission deadline will require the initiator to select the Exception Approval Group (Step 1) as displayed below and then clicking" Start Exception Approval" (Step 2). The approval begins and emails the designated users in the Approval steps. In the event the approval is declined, the Document status will be changed to Declined.
