With any organization, it is normal to see staff changes, over time. If you have a new member who requires access to their meetings and reports, here are the steps you will take to give them access:
1) Create new account
Go to Main Navigation Bar > Users & Groups > User List
In User List, click on Create User and fill out the fly out for the new user. Designate what their role will be in eSCRIBE. For more information about the permissions, please refer to (insert article). You have the option to send an invitation to the new user right away or you can send it at a later time via Send Invitation option from the user's Options menu. Once the invitation is sent out, the new user will confirm their information and become an active user in eSCRIBE.
2) Add the user to their attendee groups
Go to Main Navigation Bar Users & Groups Attendee Groups
Once the user is active, add them to their appropriate attendee groups. When you selected the appropriate attendee group, click on Add Attendee to fill out the fly out for the new user.
NOTE: If the new Administrator or Participant should appear on the Roll Call/ Minutes Package Attendance, mark off Roll Call under the Display section. Otherwise for Contributors writing reports, you can add their name and leave the Display section blank to not appear on Roll Call, but be able to submit their reports.
Mark the checkbox for Add to Upcoming Meetings at the bottom of this fly out to get the attendee added to those meetings.
3) Participant Meeting Publishing
Go to Main Navigation Bar > Meetings > select specific meeting > Publish (Tab bar) > Participant
When it is time to publish a meeting, publishing the meeting to Participants will grant access to meetings for both Contributors and Participants. In the Participant option of the Publish page, you will need to first publish the Meeting to show the meeting date to both Contributors and Participants.
Once the meeting is published, the meeting will be seen on the home page of their account.
NOTE: When the meeting is published, Participants will see changes made to the meeting. Communication will be needed to avoid confusion on the changes being made.
