Go to Main Navigation Bar >Templates > select Meeting Templates.
After reviewing the functionality of creating a separate meeting template for Closed Session, here are the steps to create that template.
First, begin by copying an existing meeting template which will become the Closed Session.
From here, select an existing meeting template and click on its Options Menu and select Duplicate.
By selecting Include Agenda Structure, the overall structure of the meeting is copied including categories, sub-items, and default text (resolutions, minutes, etc.). If this option is not selected, then only the meeting template will be copied, and the agenda structure for the new meeting template will be blank.
Note: At a minimum, the following values typically need to be changed when copying a meeting template:
Configure Agenda Package Agenda Agenda Open Title / Agenda Closed Title
Configure Minutes Package Title Title / Closed Session Title
When duplicating the Meeting Template, review the Permissions Section. This area of permissions can dictate which different levels of control a specific user will have with this template. Meeting Administrators will have full access to the Closed Session Meeting Template. Meeting Type Administrators will be able to update the Closed Session Meeting Template (settings and agenda template).
For attendees, you can grant their permissions to access the Closed Session through Attendee Group.
For the Closed Session Meeting Template, there are other settings which should be disabled for security and privacy:
Under the Meeting Settings section, click on Configure Meeting Settings.
When you are on the General tab, scroll down to the Other Settings section. Uncheck Enable Webcasting and Allow Internet Publishing options. This will disable Webcasting (if enabled) and ensure that the Closed Session Documents cannot be published to the Website accidentally.
Note: The Webcasting setting can be left enabled, if you will be recording the meeting internally, however please ensure you Unpublish the Live Stream first.
Next, you would add items to the template as you would for any meeting template.
