Closed Session - Applying the Special Action

Go to Main Navigation Bar > Templates > Meeting Templates > select Meeting Template>  select Agenda Item>  Agenda Item's Options Menu>  Edit Item >  Special Action (drop down)

The Closed Session - Special Action allows you to create a sub-meeting, a confidential session as part of your Open Session in eScribe. This option provides automatic security to the Closed Session, for example Internet Publishing is disabled to prevent accidental posting of the Agenda to the eScribe Publishing page. As well, the Closed Session access is managed through the Attendee Group for each Attendee, by enabling or disabling the Allow in Closed Sessions setting. 

The Closed Session - Special Action, being a sub-meeting to the Open Session, means that Administrators must take the same steps they would take in the Open Session, i.e. Preparing & Publishing the Agenda, and Conducting the meeting separately. 

When you are in Meeting Templates from the Main Navigation Bar, select the Meeting Type you want to Update, and complete the form to add a new category. Choose the Closed Session option from the Special Action drop down. 

 

 

If you plan to include a templated motion to be included for Closed Session (Eg. Noting that the meeting motion to move into the Closed Session), you can do so by clicking on Add Motion under the Minutes tab of agenda item details.  

 

 

Remember, changes to the Meeting template will affect all newly created meetings. 

In order to apply a Closed Session Category to an existing meeting, go into the Meeting, select Agenda's  Options Menu. From there, select Add Item. If a Closed Session Special Action has not already been applied to the meeting, you will see the drop-down menu option for Closed Session.
