Capturing a Conflict of Interest as Administrator within a Meeting

Conflicts can be captured by an Administrator in one of two ways:

  1. On a specific agenda item.
  2. Through a dedicated agenda item used to group all known conflicts, referred to as a Special Action.

Declaring a Conflict on a Specific Agenda Item

At any point during the meeting lifecycle, a conflict can be added for any voting participant, against any agenda item. This can be done by selecting the Details tab of the Agenda Item and selecting Add Conflict under the Conflict(s) section.

Declaring a Conflict on a Special Action Category

To add a conflict using the special action item, select the agenda item that has the special action. For example, Declaration of Pecuniary Interests from the agenda navigation. 

Using the options menu, click Add Conflict.

Using the fly out, capture details such as Agenda Item, Voting Member, reason for the conflict and additional documents if needed.

When a conflict of interest is added to an agenda, it is displayed in two locations:

  • Under the Special Action category, which serves as a central location for tracking all declared conflicts. In the example below, this appears as Agenda Item 4.1.
  • On the specific agenda item to which the conflict applies, such as Agenda Item 6.
