Go to Main Navigation Bar > Meetings > select specific Meeting > Meeting Mode drop down menu > Closed Session
The Closed Session Special Action acts as a sub-meeting to the Open Session, therefore everything that is done in the Open Session, must also be done in the Closed Session such as Roll Call and Opening Votes. If you are not using the Closed Session Special Action, and instead creating a separate meeting type, visit the Closed Session meeting and Conduct the Meeting as you would an Open Session.
First, enter the closed session through the Meeting mode drop down by selecting Closed Session.
Conduct Meeting mode and can be accessed by clicking Conduct Meeting at the top of the Agenda.
At a high-level, the steps to conducting the meeting are as follows:
- Complete Roll Call
- Optional: Start Video Recording (if using the eSCRIBE Live Streaming module). For the Closed Session Special Action, you can determine if the Closed Session can be recorded internally only, or not.
- Click on each item and complete details for each item as it is discussed during the meeting (time stamps for the video will be saved automatically on the click of the item)
- Open a Vote (if using the eSCRIBE Vote Manager module) Vote Manager - Opening a Vote
- Conclude Meeting
In the Closed Session, you will be able to return to the Open Session by choosing Meeting from the Meeting Mode drop down menu.
While in Meeting (In-Session) mode, eSCRIBE will track your progress through the meeting, recording the order in which items are selected. Depending on the meeting template configurations, minutes are produced in Meeting order (order they were clicked on in Meeting (In-Session) mode), or Agenda order (order they appear in the agenda).
If Meeting Order is chosen as the desired format in the template settings, it is important to select items in the order in which they are discussed during the meeting. If an item is clicked out of order, it can be “unvisited” by clicking the green checkmark to the left of the item title.
