Creating New Users in eScribe

There are two main types of accounts that can be created in eScribe: Forms and Single Sign-On (SSO).

Forms users are local accounts created and managed within eScribe by an Administrator. Administrators can choose to create these accounts in advance and send activation emails to users when they are ready to access the system.

Single Sign-On (SSO) users authenticate through an external identity provider. These accounts do not require an activation email, as they are active immediately upon creation. Jump to the section that best suits the organization.

Creating a new Forms User

  1. Go to Main Navigation Bar.

  2. Click Users & Groups.

  3. Select User List.

  4. On the Users List page, click the Create User button.

  5.  Under Sign In Option select > eScribe Account from the drop down to begin a new user
  6. Select the type of User Role to assign to the user.

  7. Upload a Photo and Signature if required.

  8. Click Save to create the new user.

  9. The new user will appear in the users list and can be managed using the options menu.

Creating an ADFS/Azure User 

  1. Go to Main Navigation Bar.

  2. Click Users & Groups.

  3. Select User List.

  4. On the Users List page, click the Create User button.

  5.  Under Sign In Option select > Single Sign on from the drop down to begin a new user
  6. Select the type of User Role to assign to the user.

  7. Upload a Photo and Signature if required.

  8. Click Save to create the new user.

  9. The new user will appear in the users list and can be managed using the options menu.

  10. Users who are setup as SSO will be activated automatically within eScribe. The invitation to join eScribe can be disregarded for SSO customers only.

Updating an existing user profile

eSCRIBE Administrators can update all the properties of a user's profile with the exception of resetting their passwords. 

  1. Go to the Main Navigation Bar.

  2. Click Users & Groups.

  3. Select User List.

  4. Locate the user in the list.

  5. Click the Options Menu next to the user.

  6. From the dropdown, select Edit User

Permissions and Roles

Use the table below to assist with assigning permissions to new users.

Permission

Explanation
Super Administrator
  • Access to all meetings open and closed by default. 
  • Access to all attendees and users groups
  • Access to all Meeting Types
  • Access to all Administrative functions
  • Access all Documents (Draft and Approved) for all Meeting Types
  • Users who are assigned Super Administrator do not need other permissions applied to their account. 
Administrator
  • Access to meetings where they have been granted access. When a user is assigned Administrator access in their user profile, they must also be assigned access to the Meeting Type(s) they need to see and/or manage upon login.
  • Access to all attendees and users groups
  • Access to all Administrative functions
  • Access all Documents (Draft and Approved) for the Meeting Type(s) they manage. i.e. : only seeing Council Meetings Documents
Meeting Type Administrator
  • Access to managing the Meeting Type only. This user has the ability to manage the items in the Meeting Type, however cannot create new meetings. 
Meeting Administrator

Meeting Administrators can be assigned the following functions by a Super Administrator if enabled:

  • Manage Meetings:

  • View Draft Document :

Attendee Group AdministratorManages all attendee groups created in eScribe
Approval Group AdministratorManages approval workflows
Contributor
  • Allows the user to create and edit Documents( Reports)
  • Allows the user the ability to trigger Approvals
  • Allows the user the ability to Approve and Delegate in an Approval Queue.
Participant
  • Access to view published meetings where they are listed as attendees
  • Download Agenda and Minutes Packages for offline viewing
  • Optionally if enabled : Requesting to Speak, Electronic Voting and Annotations.
Task ManagerAssigns and tracks tasks
VisitorLimited access for external users
