User Roles and Permissions

eScribe provides ten key user roles, allowing for the  overlap of different roles as required. The images in the sidebar illustrate the functions available according to the assigned permissions. The most comprehensive permissions are granted to combinations of Super Administrator and Administrator, while the other roles have specific capabilities and used in a combination of other roles.

Super Administrator 

The Super Administrator role provides a user with complete access to oversee and control all Meeting Templates, Attendee groups, Meetings and admin level functions.

Administrator

The Administrator user role allows for the viewing and management of specific Meetings, Meeting Templates, Attendee groups, and settings, akin to the Super Administrator role. Users must be assigned permissions for each Meeting Template.  Once access is granted to the Meeting Template, the user will be able to view the Council and COW meetings as shown in the image below.

Meeting Type Administrator:

The user role of Meeting Type Administrator allows a user the ability to manage specific Meeting Templates and modify Agenda structure.

Meeting Administrator

The Meeting Admin user role enables individuals to view and oversee meetings linked to specific Meeting Templates on their dashboard, as well as access associated Documents. This role allows users to create meetings for their designated Meeting Templates, incorporate Approved Documents into the Agenda, facilitate the meetings, and manage the Meeting Minutes.

Attendee Group Administrator

The user role of Attendee Group Administrator allows a user the ability to manage Attendee Groups only. This role is often managed in a combination of other roles (Meeting Type Admin and Meeting Admin).

Approval Group Administrator

This user role of Approval Group Administrator allows a user to manage and edit all Approval Group as needed in eScribe.

Contributor 

This user role allows users the ability to draft Documents ,collaborate and start an Approval Request. Any Contributor (Staff) who is added to an Attendee Group will also see a list of meetings under the Meetings Tab

Participant

This user role is reserved for Meeting Attendees (Voting Members) who will logging into eScribe via the Web Browser to access agendas and Minutes.

Task Manager

The user role of Task Manager allows a user to send and manage Tasks associated to a specific Meeting Template(s).

Visitor 

This user role is a general read only role and rarely used as standalone. This role in combination with a Contributor + Visitor allows Contributors the ability to see and access meetings without being added to a meeting/attendee group. To enable this setup please reach out to your Implementation Consultant for more information.

Common Variations used by customers:

Meeting Type Admin + Meeting Admin 

The Meeting Type Admin and Meeting Admin user roles enable individuals to view and oversee the Meeting Template, as well as the associated meetings displayed on their dashboard. This role permits the creation of meetings linked to specific Meeting Templates, editing of the Template, inclusion of Approved Documents in the Agenda, facilitation of the Meeting, and management of Meeting Minutes.

Meeting Type Admin + Meeting Admin + Users & Groups

The combination role of Meeting Type Admin + Meeting Admin + Attendee Group Admin  allows a user the ability to see and manage Meeting Templates, meetings, Documents associated to the Meeting Template(s) and manage their Attendee Group as needed. This user can create meetings for their respective Meeting Templates,  edit the Template,  add Approved Documents to the Agenda, Conduct the Meeting and manage Meeting Minutes.
