As an additional option for taking the minutes of the meeting, or as a backup in the event that internet connection is lost during the meeting, Administrators can generate a meeting’s Pre-Minutes document in Word format that can be downloaded and printed.
To generate Pre-Meeting Minutes, go to the Packages tab within a meeting. From here, switch the options from Agenda Packages to Minutes Packages. When the Minutes packages load, select on the Package option under Pre-Minutes. Finally, click on Prepare Packages to start preparing that package.
The document can be opened in Microsoft Word, by clicking View beside the generated document.
This Pre-Meeting Minutes document contains all pre-populated information such as minutes and resolutions. It can be modified or added to during the meeting, and then referred to Meeting (In-Session) mode when completing the minutes.
The pre-meeting minutes displays attendance as a list with a place to check off attendees who are present. It also leaves a blank for Movers & Seconders, and displays all motion results, so that the selected result can be circled or highlighted.
Note: Information captured in the Pre-Meeting Minute template is not automatically updated in eSCRIBE. Therefore, after a meeting is complete, administrators must visit Meeting (Not Started) mode and update the live data as required.
